Email Made Simple: Gmail and Beyond

What Is Email?

Email is like sending a letter, but it arrives instantly and is free. You can send text, photos, and files (called attachments) to anyone who has an email address. The most common email service today is Gmail (by Google). Others include Outlook (by Microsoft) and Yahoo Mail.

Opening Gmail on Your Phone

  1. Look for the Gmail app on your phone. Its icon is a colorful envelope (red, yellow, green, blue).
  2. If you do not have it, download it from the App Store (iPhone) or Google Play Store (Android). Search for "Gmail."
  3. If you already have a Google account, Gmail is already set up. If not, the app will walk you through creating one.

Reading Your Emails

  1. Open Gmail. You will see your Inbox: a list of emails you received, newest at the top.
  2. Tap any email to read it.
  3. To go back to the list, tap the back arrow at the top left.

What the icons mean:

Writing and Sending an Email

  1. In Gmail, tap the pencil icon (compose button) at the bottom right corner of the screen.
  2. In the To field, type the email address of the person you are writing to. Make sure to type it exactly, including the @ symbol and the part after it (like @gmail.com).
  3. Tap the Subject field and type a short description of what your email is about (like "Family dinner Sunday").
  4. Tap the large area below and type your message.
  5. When you are done, tap the send arrow at the top right (it looks like a paper airplane).

Replying to an Email

  1. Open the email you want to reply to.
  2. Scroll to the bottom and tap Reply. (If there are multiple people and you want everyone to see your response, tap Reply All.)
  3. Type your response and tap Send.

Sending a Photo by Email

  1. Start writing a new email (tap the pencil icon).
  2. Tap the paperclip icon at the top of the compose screen.
  3. Choose Attach file to pick a document, or you may see an option to choose from your Photos.
  4. Select the photo or file you want to send.
  5. It will appear attached to your email. Now write your message and tap Send.

Understanding Email Organization

Gmail automatically sorts your email:

Swipe gestures: In your inbox, swiping an email to the right or left will archive it by default (not delete). Archived emails disappear from your inbox but are not deleted. You can find them in All Mail. If you want to delete, tap the trash icon after opening the email.

Dealing with Spam and Junk

Spam is unwanted email. Gmail blocks most of it automatically. If junk email does appear in your inbox:

  1. Open the email.
  2. Tap the three dots menu at the top right.
  3. Tap Report spam.

This teaches Gmail to block similar emails in the future. Never tap links in spam emails or reply to them.
